Standing Committee Duties

The Committee includes the following elected roles: Chair, Vice Chair, Secretary, Treasurer and Historian.

    • Setting Goals: Establishing the objectives of the Committee.

    • Providing Oversight: Ensuring subcommittees and members carry out the responsibilities effectively.

    • Making Decisions: Addressing major Committee decisions, such as budgets and schedules.

    • Long-Term Planning: Developing strategies to sustain and grow participation in family reunions.

    • Guiding Reunion Planning: Setting the overall tone, theme, and goals for family reunions.

    • Approving Budgets: Reviewing and approving the budget, including reunion expenses and fundraising goals.

    • Overseeing Fundraising: Ensuring effective fundraising strategies to support events, scholarships, and other initiatives.

    • Managing Funds: Ensuring accurate record-keeping and proper use of funds.

    • Appointing Subcommittees: Assigning members to lead or serve on various subcommittees.

    • Monitoring Progress: Overseeing subcommittee work to ensure deadlines and objectives are met.

    • Providing Support: Offering guidance and resources to subcommittee chairs, other roles and family members.description

    • Facilitating Meetings: Organizing and leading Committee meetings to discuss plans, updates, and challenges.

    • Connecting Family Members: Ensuring clear and consistent communication with family members through newsletters, social media, or websites.

    • Addressing Concerns: Acting as a point of contact for family members to share suggestions or concerns.

    • Reviewing Plans: Ensuring the reunion schedule, activities, and logistics align with family goals and expectations.

    • Troubleshooting Issues: Addressing unexpected challenges or conflicts during. planning and execution.

    • Preserving Records: Keeping minutes of meetings, financial reports, and important family documents.

    • Ensuring Continuity: Establishing systems for leadership transitions and passing down knowledge to future Committee members.

    • Encouraging Participation: Motivating family members to engage in planning, events, and activities.

    • Building Connections: Strengthening bonds among family members across generations and locations.

    • Assessing Events: Reviewing the success of family reunions and other initiatives, gathering feedback, and identifying areas for improvement.

Chair Duties

    • Serve as the primary leader and representative of the family.

    • Oversee all planning activities and ensure alignment with the Committee’s objectives.

    • Schedule, organize, and preside over Committee meetings and subcommittee meetings.

    • Facilitate discussions and decision-making processes effectively.

    • Develop a clear vision and strategy for the reunion, including themes, locations, and activities.

    • Delegate tasks to Committee and subcommittee members and ensure progress toward goals.

    • Act as the main point of contact for the family, sharing updates and important information.

    • Maintain clear and consistent communication with family members and planning teams.

    • Collaborate with the Treasurer to establish and oversee the reunion budget.

    • Approve expenses and fundraising efforts to ensure financial accountability.

    • Address and resolve disputes or challenges that may arise during planning or the event.

    • Encourage activities or initiatives that honor the family’s heritage and traditions.

    • Support efforts to document and share family history for future generations.

    • Conduct post-reunion reviews to gather feedback and assess the event’s success.

    • Use insights to improve future reunions.

    • Guide the selection and mentoring of future leadership to ensure the continuity of reunions.

Vice Chair Duties

    • Assist the Chair in overseeing the planning and execution of the family reunion.

    • Serve as an advisor and collaborator on key decisions and strategies.

    • Act as the Chair in their absence, ensuring continuity in leadership and decision-making.

    • Make on additional responsibilities during times of need or unforeseen circumstances.

    • Oversee and coordinate with subcommittees to ensure they meet deadlines and goals.

    • Act as a liaison between the subcommittees and the Chair.

    • Collaborate with the Chair to develop reunion themes, schedules, and event details.

    • Provide input and support in organizing venues, accommodations, and activities.

    • Assist in communicating plans and updates to family members.

    • Help promote the reunion to encourage maximum participation.

    • Support the Treasurer and Fundraising subcommittee by helping plan and execute fundraising initiatives.

    • Ensure financial decisions align with the reunion’s objectives.

    • Mediate disputes or challenges within the Reunion Planning subcommittee or family, working to maintain harmony and cooperation.

    • Motivate family members to volunteer, contribute ideas, and actively engage in reunion activities.

    • Help create a welcoming and inclusive environment for all participants.

    • Track the progress of tasks and goals to ensure the reunion stays on schedule.

    • Provide updates and feedback to the Committee and Reunion Planning subcommittee.

    • Gain experience and understanding of the Chair’s role to ensure readiness to step into leadership if needed in the future.
